Refunds & cancellations

Scope

This policy applies to paid professional engagements described on this site — including SOC Analytics Engagements, Incident Reporting Programme Design, Shift Handoff Visual Packs, and Board Incident Briefings. It does not cover products we do not sell, software licences, or monitoring subscriptions.

Deposits

Fixed-fee engagements typically require a 40% deposit to reserve calendar time. Deposits are credited toward the final invoice. Board briefings are usually invoiced on delivery without a deposit unless rush preparation is agreed in writing.

Cancellation by the client

If you cancel more than ten business days before the agreed start date, we refund the deposit in full. Cancellations between ten and five business days before start receive a 50% deposit refund. Cancellations with fewer than five business days’ notice forfeit the deposit, because we have already held analyst time.

Rescheduling

You may reschedule once without fee if you give at least five business days’ notice and we can offer an alternative within thirty days. Later or repeated reschedules may incur a fee of up to 15% of the engagement fee to cover re-planning.

Work already started

Once discovery sessions, floor observation, or draft artefacts have begun, fees for completed stages are non-refundable. Unused later stages may be refunded proportionally if we agree to stop the engagement early, less costs already incurred for scheduled rooms or specialist time.

No-shows

If key client contacts miss a booked working session without twenty-four hours’ notice, that session is treated as delivered for scheduling purposes. We will offer one make-up slot where calendar allows; additional make-ups may be charged at an hourly rate stated in the statement of work.

Non-refundable items

Third-party room hire, specialised data handling costs, and materials purchased at your written request are non-refundable once incurred. Completed board briefing preparation delivered on time is non-refundable if the board date later moves.

Refund process and timing

Email info@system-bloompath.click with your engagement reference and reason. Approved refunds are processed within fourteen business days to the original payment method unless we agree otherwise in writing.

Our cancellations

If System Bloompath must cancel an engagement for reasons within our control, we refund fees paid for undelivered work in full and will help you reschedule where possible.

Exceptions

Statutory rights under Hong Kong law that cannot be waived remain unaffected. Engagement-specific statements of work may refine this policy; where they conflict, the signed statement of work prevails for that engagement.
